Job Description
The Administrative Associate (AA) serves as the administrative assistant to the Winston College of Law Communications Office (CO) and the Institute for Professional Leadership (IPL). The AA is the front-desk customer service representative of the IPL and Communications Office Suite and monitors all general phone calls and email accounts. The AA provides administrative needs to the Communications Office which includes communications and marketing requests, scheduling, project updates, price quoting, and purchasing. The AA provides administrative needs to the IPL and has extensive interactions with alumni, businesses, organizations, and government agencies, as well as faculty, staff and students. The AA may supervise college student workers.


Responsibilities
  • Office of Communications:
    • Provide administrative support to the Office of Communications in the Winston College of Law.
    • Assist with communications and marketing requests by gathering information for marketing requests by interfacing with college faculty, staff, and students and navigating the Law Portal and Office of Communications email.
    • Schedule group meetings and serve as point-of-contact for communications and marketing project updates and will work closely with all team members in the Office of Communications to share the information they gather and provide regular updates.
    • Communicate with University Printing and Mail and other vendors to gather information for pricing quotes and enter and pick up orders.
    • Work with the Winston College of Law Business Office to secure office supplies and other equipment needs of the team.
  • Institute for Professional Leadership:
    • Provide administrative support to the director of the Institute for Professional Leadership by: coordinating class sessions, assembly of course materials, room scheduling, travel by the director, and vendor communications; organizing appearances by guest speakers and other events; conducting outreach, engaging in correspondence, assisting in surveying those who have participated in IPL courses and programs, and generating and typing documents; and handling all other administrative needs, as they arise.
    • Reach out to faculty, students, and members of the bar as program participants or mentors in the form of phone calls and emails.
    • Coordinating events to engage members and to encourage new memberships and partnerships.
    • Will be heavily involved in the details of IPL communications and will keep track of documentation and contacts for future endeavors.
    • Serves as a part of the IPL team and will assist in raising the profile of the IPL among the students, faculty, alumni, and bar.
    • Manage procurement, facilities requests, and general office communications for IPL.

Qualifications
Required Qualifications
  • Education: Associates Degree or high school diploma/GED and at least 2 years work experience
  • Experience: Work experience with an emphasis on oral and written communication, events planning, office management, public relations, and intermediate computer skills required.
  • Knowledge, Skills, Abilities: Must have excellent written, verbal, organization, communication, interpersonal, critical thinking and customer-service skills. Strong data entry and word processing skills and attention to detail. Ability to manage multiple projects and customer needs simultaneously. Mature judgment and confidentiality. Knowledge and discretion to make decisions that fall with established practices. Ability to work independently and in a collaborative team-oriented environment. Familiarity with Microsoft OneDrive, SharePoint, Outlook, Word, and Excel. Ability to transport materials for events/programs to and from site, which includes lifting of up to 25 lbs.

Preferred Qualifications
  • Education: Bachelor's Degree
  • Experience: 1-4 years of work experience with an emphasis on oral and written communication, events planning, office management, public relations, and intermediate computer skills preferred
  • Knowledge, Skills, Abilities: Experience with ERP/SAP/Oracle systems is preferred
